Privacy Policy

Intonation Labs Pte. Ltd. (UEN: 202607645W), registered in Singapore ("we", "us", "our"), is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, and protect information when you interact with our website, services, and products.

1. Information We Collect

1.1 Information You Provide

When you contact us through our website contact form, we collect:

  • Full name
  • Email address
  • Company name (optional)
  • Inquiry type and message content

1.2 Automatically Collected Information

We use Google Analytics (measurement ID: G-JLS3NBVR55) to collect anonymised usage data, including:

  • Pages visited and time spent on each page
  • Referring website or source
  • Browser type, device type, and operating system
  • Approximate geographic location (country/city level)
  • Session duration and interaction events

1.3 Live Chat Data

We use Tidio for live chat support. When you interact with our chat widget, Tidio may collect your name, email (if provided), chat transcript, browser information, and approximate location. Tidio's data processing is governed by their own privacy policy.

1.4 Data Collected by Our Products

Depending on which of our products you use, we may collect the following additional data:

  • IntonationAI: Audio recordings (processed in real-time and not stored unless you opt in), practice session data, and instrument preferences
  • IntoMeeting: Meeting transcripts (stored in your Firestore collection), knowledge base documents, and meeting summaries
  • IntoMarketing: Brand documents, content drafts, analytics data, and connected platform credentials (encrypted)

2. How We Use Information

We use the information we collect to:

  • Respond to your inquiries and provide requested services
  • Send project proposals and engagement-related communications
  • Improve our website, services, and user experience
  • Analyse website traffic and usage patterns
  • Comply with legal obligations

We do not sell, rent, or trade your personal data to third parties for marketing purposes.

3. Data Storage & Security

Contact form submissions are stored in Google Cloud Firestore, hosted on Google Cloud Platform infrastructure in the Singapore region (asia-southeast1). We implement appropriate technical and organisational measures to protect your data, including:

  • Encryption in transit (TLS/HTTPS)
  • Encryption at rest (Google Cloud default encryption)
  • Access controls limited to authorised personnel
  • Regular security reviews

4. Third-Party Services

We use the following third-party services that may process your data:

  • Google Analytics — website analytics and traffic measurement. Data may be processed on Google servers outside Singapore. Google's privacy policy applies.
  • Tidio — live chat support. Chat data is processed according to Tidio's privacy policy.
  • Stripe — payment processing for IntonationAI subscriptions. Stripe handles all payment card data directly and is PCI DSS compliant. We do not store your payment card information.
  • Google Cloud Platform — infrastructure hosting for our services and data storage.
  • Anthropic (Claude API) — used for AI content generation in IntoMarketing. Data sent to Anthropic is processed according to their usage policies and is not used to train their models.
  • Google Vertex AI — used for AI features across all of our products. Data is processed within Google Cloud infrastructure.

5. Data Retention

We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected:

  • Contact form submissions: retained for up to 24 months after the last interaction, then deleted
  • Analytics data: retained according to Google Analytics default retention settings (14 months)
  • Chat transcripts: retained according to Tidio's data retention policy
  • Contractual and billing records: retained for 7 years as required by Singapore tax and accounting regulations

6. Singapore PDPA Compliance

We comply with the Personal Data Protection Act 2012 (PDPA) of Singapore. Under the PDPA:

  • We collect personal data only for purposes that a reasonable person would consider appropriate under the circumstances
  • We obtain consent before collecting, using, or disclosing personal data, unless an exception applies
  • We make reasonable efforts to ensure personal data is accurate and complete
  • We protect personal data with reasonable security arrangements
  • We limit the retention of personal data to the period necessary for business or legal purposes

7. Your Rights

Under the PDPA and applicable data protection laws, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate or incomplete personal data
  • Withdrawal of consent — withdraw your consent for the collection, use, or disclosure of your personal data at any time
  • Deletion — request deletion of your personal data, subject to legal retention requirements

8. Cookies

Our website uses cookies and similar technologies. We provide a cookie consent banner that allows you to choose which categories of cookies to accept:

  • Essential cookies — required for the website to function properly. These cannot be disabled.
  • Analytics cookies — used by Google Analytics to collect anonymised usage data and help us improve our website.
  • Marketing cookies — used by Tidio live chat to provide customer support functionality.

You can manage your cookie preferences at any time using the "Manage Cookies" link in the website footer.

9. Data Processing for AI Features

Our AI-powered products process user data as follows:

  • IntonationAI: Audio data is processed in real-time and is not permanently stored unless you explicitly save a practice session.
  • IntoMeeting: Meeting transcripts are stored in your isolated Firestore collection and are accessible only to you and your authorised team members.
  • IntoMarketing: Content generated by the platform is stored in your account and can be deleted at any time.

We do not use customer data to train AI models.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. We encourage you to review this policy periodically.
